This role is responsible for providing advanced and diversified Administrative support.

It supports and assist the department achieve its goals and objectives by collating and producing timeous reports on performance management activities.

This position serves as the primary point of contact for the Head of Department (HOD) office and supports the coordination of both personal and functional or departmental commitments.

The incumbent completes and or coordinates a variety of activities, assignments, or special projects in an organized and timely manner that contribute to the effective management of the business cycle in the Head of Department's function (e.g. scheduling and coordinating the timely and accurate submission of monthly functional reports, coordinating diaries to ensure adherence to the WUC performance management cycles in each functional line manager's diary, etc.)

The role also manages all travel logistics for the HOD and other team members within the department.

It assists in the administration of HOD's budget through timely procurement of office supplies and services as well as efficient utilisation of same.

This position is responsible for maintaining information of a highly sensitive and or confidential nature.

  • Performs executive level administrative support functions including typing, reviewing and drafting correspondence, memoranda, board items, presentations, reports and other documents while ensuring accuracy and completeness.
  • Implements an efficient document management and filing systems in compliance with WUC's document management and SHERQ standard.
  • Maintains departmental routine and confidential files as required by proper referencing of files and folio numbers
  • Safeguards and maintains confidential information.
  • Assist HOD with consolidation and implementation of annual departmental plans.
  • Coordinates, manages, and maintains heavy calendar schedule which includes appointments, meetings, and travel arrangements.
  • Receives, evaluates, and directs mail, electronic communications, and phone calls ensuring proper distribution.
  • Composes and drafts written responses received by the Office, as appropriate.
  • Prepares and monitors financial information includibudgets, time and attendance documentation, purchasing and petty cash requests.
  • Leads the administrative arrangements for meetings or seminars or workshops for the department by liaising with other support or administrative staff in the
  • Receives and reviews for accuracy and adherence to WUC'S policies and procedures, all documents for executive level approval and or signature.
  • Researches, prioritizes, and follows up on multiple issues and concerns addressed to the Office of the Executive, including those of a sensitive and or confidential nature.
  • Involved with high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgment.
  • Acts as communication liaison between the line manager, customers, employees and public entities in order to ensure quality communications.
  • Apprises staff of directives from executive management by communicating delegated assignments.
  • Provides support to Board Adminirator as required in agenda coordination and preparation and serves as back up for Board Administrator in his or her absence.
  • Establishes and maintains effective working relationships and public relations and facilitates interdepartmental teamwork.
  • Assists the CEO or Executive staff on related activities such as Board committees, agendas, special events and projects.

Qualifications and Experience

  • Diploma in Secretarial Studies/Business Studies or Office Management
  • Degree in Business Studies /Office Management or Bachelor's programme in Secretarial is an added advantage
  • Three (3) years' experience performing complex administrative support functions to an Executive member of staff.
  • Direct entry for Degree holders and Three (03) years' relevant work experience for Diploma holders
  • Training and or experience in providing advanced administrative support in Board and other reporting structures is an added advantage

Salary: An attractive Salary Package commensurate to the market

Leave: 25 working days per annum

Pension: A Contributory Pension Scheme (16.5% WUC and 4% Employee)
